    SupportAbility has been updated to use the following format to generate the Claim Reference identifier in the NDIS Bulk Payment Request file export:

    'Formatted Invoice Number'-'Ordering Number of Related Invoice Item on Invoice'.

    This will ensure each Claim Reference included in the NDIS Bulk Payment Request file export ('New 2018/19' and 'Old 2017/2018' versions) is unique.

    Additional rules have been applied when making amendments to a single Activity, or rolling out changes to Activities within a replicated set, to ensure data quality and accuracy.

    Amendments to an Activity date and/or time cannot be made to a single Activity, or applied to Activities within a replicated set, when the Activity has either:

    - One or more Clients with a Support Log recorded (as Support Logs reference the Activity date and time).
    - One or more completed Staff Time Sheets for shifts that are not customised (as non-customised shifts reference the Activity date and time).

    Additionally, the date and/or time of any customised Staff shifts cannot be changed when the Activity date and/or time cannot be updated.

    Further to this, where the related 'Replication For Set' Replication Management Setting is active in an Activity:

    - Any changes to the NDIS Support Allocations for a Client, will not be applied to any future Activities in the set with existing Client Support Logs.
    - Changes to Staff details will not be applied where Staff Time Sheets have been completed.

    SupportAbility has been updated to include 'Claim Type', facilitate the management of cancellations and "no shows", and introduce the new NDIS Bulk Payment Request 2018/19 file export in line with the new 2018/19 NDIS Price Guides.

    - The reduced price percentage your organisation wishes to charge for Category 1, 4 and 15 NDIS Support Allocations can be configured in the case where a cancellation or "no show" occurs. This is set to 90% by default and can be configured between 0 - 90%.
    * Please review the Cancellation and "no show" management section of the NDIS Configuration article

    - The addition of 'Claim Type' has been added to the NDIS Support Allocations window in Activities and Invoice Items added to External Invoices in the Client's NDIS FPM tab, for Providers of Plan Management Services.

    - Where a Client is marked as Absent in an Activity, the Claim Type of 'Cancellation' is applied automatically to any Cat 1, 4 or 15 NDIS Support Allocations with a quantity greater than zero. A Cancellation Reason is also required.

    - Filters of Claim Type and Cancellation Reason added to the Client Schedule - Activity Schedule Report and the Client::Activities tab search.

    * Providers of Plan Management Services are encouraged to review the Entering External Invoices in the Client's NDIS FPM tab article.

    - We recommend ALL Staff review the updated Summary tab, which introduces the new format of SupportAbility's learning content, how revised content is made available, and the applicable audiences.

    - The Learning Centre is categorised by sectioned tabs along with subsections where necessary. Descriptions summarise the purpose of the sections and subsections.

    - All videos now include the Audience which this content is best suited to, and the Summary tab provides a detailed explanation of each audience classification.

    - Closed Captioning (CC) or subtitles are now included in all videos and set to 'on' by default.

    - Many new and updated videos are now available, and are identifiable by the inclusion of a title in the thumbnail image.

    - Our newest videos include chapters designed to assist in navigating the content and link out to related Knowledge Base articles.

    As highlighted above, the Client Support Log is a new feature replacing the NDIS Client Sign Off, and is designed to confirm receipt of the NDIS support items as delivered in the direct services provided to Clients via Activities.

    A Client Support Log can be completed via 'Digital Signature' or 'Evidence Received'. This feature must be configured, prior to it being available to use. We recommend providers begin by reviewing the Client Support Log activation requirements article.

    New 'Direct Invoice Placeholder General Ledger (GL) Code' added to System Preferences::Settings.

    SupportAbility uses this Placeholder General Ledger Code value for items on Direct Invoice in situations when no GL Code has been entered or configured.

    The Placeholder General Ledger Code acts as a fallback measure to ensure that all Direct Invoice Items have a GL Code when invoices are exported for the finance system.

    The ‘NDIS Support Coordination’ and ‘NDIS Financial Plan Management’ options for Services within System Preferences can now only be updated by the team at SupportAbility.

    The decision to restrict providers editing these options directly, has been made following an audit identifying many incorrectly configured settings. It is critical that these options are configured correctly, as they affect the way SupportAbility functions.

    A second audit will be conducted following this update and we will make further communications with organisations that require manual amendments to their Service configuration.

    2017-18 NDIS Price Guide

    With the 2017-18 NDIS Price Guide release, the NDIA have changed the rules in correlation to pricing, stating that pricing must align with current Service Agreements. 

    Some Providers may have Service Agreements in place containing clauses stating that any prices listed in the service agreement are subject to review/change upon the release of a new price guide. The NDS have confirmed that the NDIA will respect such clauses and allow these Providers to charge at the new prices from July 2017. In addition to this the NDS announced that the MyPlace Provider Portal will accept payment requests for supports at 2017-18 price guide price limits against service bookings entered with the older 2016-17 price guide price limits. We have worked with providers to test this, and can confirm that payments requests made at the new limits will be accepted by the portal, even if the service bookings are at the original pricing.

    However from a contractual perspective, Providers must continue to use the original 2016-17 price limits if all of the following are true:

    1. The provider has a service agreement in place with the client that itemises specific support items that specifically reference the original 2016-17 pricing in the document

    2. The service agreement does not contain any clauses stating that they can or will increase the price of supports when a new price guide is released by the NDIA


    By default, SupportAbility will configure all client funding records to utilise the new 2017-18 price guide price limits for non-signed off activities that start on or after July 1st, 2017. However we have also developed a solution to keep using the older 2016-17 price limits for providers that have inflexible service agreements with clients as detailed above.

        The Goals Report shows goal progress statistics across various services in your organisation within a specified date range.

        Tags are a way of grouping people with similar traits and interests so that you can find them easily and use their information for tasks such as mailing lists or bulk emails.

        You can create your own custom tags from the new Tags tab in System Preferences. Example tags could include 'Carer Newsletter Subscriber' or 'Xmas Card List'.

        Once you've created you tags you can add them to both clients and their contacts by clicking the + icon in the new tags field.

        To find clients with a specific tag, you can use the new tag field in the client search screen. For client contacts, you can use the new client contact search option in the reports menu. Once you have a list of clients or contacts, you can download their information using the options in the actions menu for mail merging or bulk emailing purposes.

        Remember that you can also use tags to identify groups of staff, employers and contacts.

For group services you can also choose to replicate the participants and staffing list.

        This are settings in system preferences that determine whether on not these replication options are the default behaviour for any new services that you create.

        Remember that you can always customise this behaviour for each one to one or group service set as required by looking at the 'Related Services' tab for any of the group services in the set.
